Underlying Constraint
The tenant-facing payment portal was already trusted by residents and could not be replaced or re-branded. The existing accounting platform (QuickBooks) and a third-party listing syndication tool were also non-negotiable. Any system MoraStack built had to sit underneath and around these tools, not instead of them.
This constraint ruled out most off-the-shelf property management suites, which assume a rip-and-replace of the entire stack, and made a custom orchestration layer the only viable path.

Engineering Approach – Rental Management System

Orchestration Layer
A workflow engine manages rent cycles, late-fee triggers, maintenance ticket state, and renewal countdowns. Transitions are governed by pre-approved rules built jointly with the client’s operations team — no step depends on someone remembering to act.
Integration Layer
Bidirectional connectors to the existing payment portal, QuickBooks, the listing syndication tool, and SMS/email for tenant and technician notifications. Each integration is independently replaceable without touching the orchestration logic.
Observability Layer
A real-time operations dashboard surfacing occupancy, rent collection status, maintenance SLA performance, and the renewal pipeline by property. Renewals approaching their window, and maintenance tickets aging past threshold, surface automatically rather than waiting to be noticed.
Methodology – Rental Management System
Phase 1 — Operational Mapping (Weeks 1–2)
Full documentation of tenant onboarding, rent collection, maintenance routing, and renewal workflows, built in collaboration with leasing, maintenance, and accounting leads. This mapping became the direct input for the data model and workflow rules.
Phase 2 — Architecture Design and Review (Week 3)
MoraStack delivered a full technical specification covering the canonical data schema, integration contracts for each existing tool, and a state machine for rent cycles, maintenance tickets, and renewals. Signed off by the client’s operations lead before implementation began.
Phase 3 — Integration Development (Weeks 4–8)
Build of the data layer, orchestration engine, and connectors to the payment portal, QuickBooks, and the listing tool. Each integration was tested in isolation before being wired into the orchestration layer. No tenant-facing or production accounting systems were touched during this phase.
Phase 4 — Staging Rollout and Parity Validation (Weeks 9–10)
The full system ran in parallel with existing manual processes across a subset of properties for two weeks, with reconciliation and ticket-routing outputs checked against the legacy process for discrepancies.
Phase 5 — Phased Production Rollout (Weeks 11–12)
Rollout began with the lowest-complexity properties before expanding portfolio-wide. Observability dashboard active from day one. MoraStack remained on-call for the first two weeks post-cutover.

The final system is a lightweight orchestration service deployed on the client’s existing cloud infrastructure, sitting between their established tools rather than replacing any of them.

Every system references one identifier per tenant and unit. Duplicate and conflicting records across the leasing platform, payment portal, and maintenance log were merged and deduplicated during migration.
Automated Rent Reconciliation Engine
Incoming payment data from the payment portal is matched against the expected rent roll automatically, with discrepancies and late payments flagged same-day rather than discovered at month-end.
Unified Maintenance Queue
All maintenance requests, regardless of intake channel, route into a single prioritized queue with automatic technician assignment based on property, unit type, and urgency.
Renewal Pipeline Automation
Lease renewal countdowns trigger automated tenant outreach at 90, 60, and 30 days, with escalation to a human leasing agent if no response is logged — replacing the manual spreadsheet entirely.
Owner Reporting Automation
Monthly owner reports are generated directly from the canonical data layer, eliminating manual assembly from multiple sources.
